Information Collection

We collect only essential information to provide you with coaching services. This includes your name, email address, and phone number, which are used for scheduling sessions, conducting follow-ups, and sending email communications (if you opt-in to receive newsletters).

Session Notes

Any notes taken during a session are only recorded with your explicit permission. These notes are used solely during the session and are not retained beyond the session unless you provide explicit permission for ongoing use. Once the coaching relationship ends, all notes are permanently deleted—paper notes are shredded, and digital notes are deleted from the system and trash folder.

Session Logs

A session log is maintained to track client name, email, session date, session time, and session duration. This log is primarily for internal tracking and credentialing purposes with the International Coaching Federation (ICF). It will not be shared with third parties except for certification purposes and only kept for historical reference after achieving credentials.

Confidentiality

All session information is confidential. The details of your coaching sessions will not be shared without your express consent unless required by law (such as in cases of imminent harm to yourself or others or if subpoenaed by a court). In these cases, reasonable attempts will be made to inform you, unless prohibited by legal authority.

Data Security

We take data security seriously. Any information collected is stored securely, with all security measures limited to those provided by our website host, SquareSpace. Client payment information is not stored on our site; payments are processed securely through third-party services (PayPal, Stripe) with their own robust security measures. Physical address information is also handled through these payment platforms, and we do not access it directly.

Retention Policy

We will not retain any client information for longer than necessary. Session logs are retained for up to three years for internal tracking and certification purposes. Session notes will not be kept after the coaching relationship has ended unless explicit permission is granted by the client.

Feedback and Marketing

We occasionally conduct surveys to gather feedback for improving services, but participation is entirely optional. Your information will not be used for marketing or research purposes unless you’ve opted-in to receive newsletters or other promotional communications.

Your data will not be shared, sold, or rented to third parties for marketing purposes.

Updates to This Policy

This privacy policy may be updated from time to time to reflect changes in services or legal requirements. Clients will be notified of any significant changes.
